A. Introduction
Have you ever acception a formal invitation? What kind of
invitation was it? Have your parents ever accepted a formal invitation
from your school? We must have ever accepted a formal invitation, etc.
Formal invitations are invitations to official functions or formal
occasions. Most formal invitations should be replied. There are still
many differences between formal and informal infitations. In this
chapter, we are going to discuss more about formal invitations related
to school activities and workplace.

B. Formal Invitations

The first (1) invitation is the formal one. An invitation is a request

for a person's attendance at an event. There are two types of
invitations. They are formal invitation and informal invitation. According
to Webster's dictionary, a formal invitation is an invitation which follows
a dignified form, tone, or style in agreement with the established norms,
customs, or values. Informal invitation is an invitation about personal
requirement that is written informally. The formal invitations are printed
on special cards
Formal invitation can be written as letters and cards. Formal invitations
are issued for formal functions. Here are the examples:
1. The opening of an art gallery, a company, or a film.
2. Meetings or conferences
3. The launching of a product
4. A special exhibition or promotion
5. Intruducing new members or partners
6. Wedding ceremony
7. Inauguration
8. Formal dinner with clients
9. Etc.
The following are the social function, structure, and the
characterictics of formal invitation that we should know.
1. Social Function of Formal Invitation
a. To maintain interpersonal relationship in formal context.
b. To invite someone to formal and social events.

2. Structure of Formal Invitation

An invitation consists of requesting someones presence, stating the
specific event, and setting the date, time, and place. The following is
the general structure of formal invitation.
a. Logo
b. The name of the person/company/institution who invites.
c. The request for participation. For example, Request the pleasure
of your company at ...
d. The occasion or event for the invitation.
e. The purpose of the event. For the example, in honor of the school
presidental election.

f. The date, time, and place of the occasion. Some invitations use
complete format as the example below.
Saturday, the twenty-five of February.
At ten o'clock.
The place should include the street address and the building name.
g. Special instruction (if any). It is usually written the bottom the
right-hand corner of the invitation.
h. The request for reply ( R.S.V.P. )

Basen on the format, invitation letters also consist of formal invitation

letter and informal invitation letter. A formal invitation letter may be
written by schools inviting parents for graduation ceremonies or
meeting. It has an important aspec. It is not allowed to use informal
wordings. You should come to the subject matter directly. An informal
invitation letter may be written to invite someone for a social function. It
is usually friend welcoming and wholehearted. Informal invitation letters
can make the invitee feel special. His/her presence in the event is most
awaited. There is no particular rule for informal invitation letter, but the
invitation letter must use a warm approach.

The following are requirements of formal invitation letters.

a. Containing the address of the inviter and the invitee as well.
b. Having a professional appeal.
c. Having the logo of the company at its letter head.

1. Characteristics of Formal Invitation

a. Formal invitation letters or cards should have the logo of the
company at its letter head.
The logo is the organization or host's logo or graphic at the top of the
invitation. Sometimes there is the host's full name, it is used for all
hosts when the event is hosted by two or more people. However, some
invitations state the purpose of the event, for example, In honor of the
founder of the school . . . .
b. Formal invitation letters or cards contain the address of the inviter
and the invitee as well.
c. Formal invitation letters must have a professional appeal. Formal
invitation card is usually beautifully printed. Letters are in caligraphy
styles.
d. Formal invitation cards have a particular style, namely no
salution, complimentary close nor signature
e. Formal invitation letters or cards contain R.S.V.P.
Formal written invitations are traditional sent, so they need to be
answered. Therefore, they contain R.S.V.P. It is a French expression. It
stands for respondez, s'il vous plait. It means the invitee should
respond the invitation by calling or writing the host. R.S.V.P. contains
telephone numbers, contact persons, address, or emails. The invitee
may call if he can or cannot attend the event. Sometimes , semi-formal
invitation cards say "Regrets only" and give a telephone number at
tehe bottom, which means the invitee call only if they cannot attend.

How to Respond Formal Invitation Cards

1) By call

Declining the invitation

The following are expressions used in respondin R.S.V.P.

Accepting : We would be delighted / very happy/ to attend

Declining : Unfortunately, we can't accept the kind
invitation to the party because . . . .
Some hosts ask for Regrets Only, instead R.S.V.P. This
means that the host wants to hear only from those who plan not to
attend.
